Job Title: Coordinator: Energy and Natural Resources
Location: Pretoria, Gauteng, South Africa

Job Summary:
The purpose of this function is to ensure that the Energy business unit’s administrative coordination is effectively carried out to enable effective project management processes, smooth budgeting processes, timeous knowledge transfer through the correct channels, all of which will ensure a comprehensive and continued support service to internal and external stakeholders.

Duties/Outputs:
Financial Management:
-Ensure that the project/portfolio budgets and expenditure are effectively updated and monitored, so that all people in the unit have updated information with regards to the budget.
-Capture, track, monitor and report on Unit’s operational budget.

Stakeholder Management & Thought Leadership (Customer):
-Internal and external customers are aware of units’ offerings.
-Unit engages effectively with their stakeholders and clients.

Internal Processes:
-Receive and perform a basic pre-screening evaluation on new applications and issue feedback letters to clients based on the outcome.
-Coordinate and schedule meetings with new applicants and portfolio/programme managers.
-Accompany portfolio/programme managers to on-site meetings to assist with minute taking and filing.
-Liaise with the legal and finance department to ensure contracts are complete and are properly filed.
-Update project dashboards with the statement of progress during the project review phase.
-Assist with ensuring effective business processes are in place to coordinate activities in unit.
-All Unit portfolio/programme information is recorded on Fund Management System.
-Collect and collate information to compile relevant reports.
-Ensure adherence to all relevant policies and frameworks.
-Compliance with all TIA systems (Performance Management, HR, Finance, Stakeholder information, fund management, reporting etc.) is achieved.
-Collate information on each company for Good news stories, maintain photos and information on the development of the projects.

Quality:
-Ensure alignment of all work processes to the required quality standards.
-Proactively identify continual improvement strategies.
-Monitor agreed quality initiatives ensuring that they are aligned to business processes and delivered as agreed.

Requirements:
Qualifications:
-Minimum: Three (3) years’ technical qualification.
-Preferred: B Degree in Science / Engineering / Project Management.

Experience:
-Minimum: Three (3) years’ experience in project management and/or administration, with knowledge of project / programme / portfolio management life cycle.
-Preferred: Five (5) years’ experience in project management and administration.
-Experience in working with multi-functional teams.
