A vacancy exist for a Congolese national to apply to manage the office administration in the business unit by planning activities, organising resources, delegating task responsibilities, leading people and controlling risks to ensure the successful and timeous execution of all administrative activities in respect of quality, quantity, efficiency and financial requirements. This includes all policies, procedures and statutory requirements.
Site Office Administration:
Ensure that a valid signed copy of the contract between FAT and the client is available in the office
Ensure proper sign-off on bill of quantities by FAT and the client
Ensure accurate Debtor invoice processing as defined and indicated the BU Financial Controllers
Ensure the accurate completion of requisitions for all purchases
Ensure correct contract allocations on requisitions
Ensure proper approvals are obtained for all purchases
Maintain site costing documentation
Perform regular fixed assets checks
Receive goods or services and forward all duly approved (i.e. Contracts Manager) signed delivery notes and /or invoices to the regional office
Validate actual receipts against delivery note as well as outstanding order list
Maintain general record keeping and filing
Operating of office equipment i.e. fax machine, copier, telephone, etc.
Completion of plant returns
Managing of diesel stock, PPE Stock and Controlling of stores
Safety and Training Administration:
Preventing loss/damage of property in the office
Ensuring proper housekeeping in the office
Compile monthly report in conjunction with the Production Manager
Personnel Administration:
Assist in compiling of the monthly HR report – in conjunction with the HR Manager
Assisting in handling of leave administration of wage / salary employees
Assisting in handling of all fund administration for wage employees
Assisting in scheduling and programming of medicals and inductions
Assisting in completion of medical administration
Assisting in registering and channeling of all personnel enquiries to the relevant levels
Assisting in compiling and safe-keeping of personnel files for all wage employees in the area
Wage Administration:
Assist in consolidation of clock cards
Assist in registering and following through of all wage queries
Assist in handling of sign-on procedure for all new wage employees
Client Relationship Administration:
Promoting the image of FA
Requirements
QUALIFICATION:
Bachelor’s Degree in Accounting
EXPERIENCE:
2 years financial, procurement and bookkeeping experience at an auditing firm or chartered accountant firm
Knowledge of income tax and project accounting
SKILLS, QUALITIES AND ABILITIES REQUIRED:
Proficient in English and French.
Basic computer literacy.
MS Office & Outlook.
