The key purpose of this role is to support the Project Specialist in the Administration of the Skills Programmes, Bursaries and Special Project for Workers.

Job Summary:
•Support the applications process with the employers once the Funding Window has been opened.
•Prepare recommendation letters for signature by COO/Manager for the successful applicants.
•Send the signed recommendations to the successful employers.
•Liaise with the employers to submit the required documentation for validation.
•Prepare the final allocation letters for signature by Manager/CFO/COO and Employer.
•Request invoices from employers for capturing on payment requisition form.
•Payment requisition submitted to Specialist and Manager for approval.
•Submit Invoices to Finance for payment.
•Follow up with employers for outstanding documents as required.
•Engage with the employers regarding any queries or questions.
•Report on the learner details, number of learners and payment amounts paid and qualification and learner region.
•Quality assures and check performance report for accuracy for submission.
•Prepare closure letters for signatures and submit to employers.
•Quality assure Commitment Reports for accuracy periodically.
•Provide information and documentation as required by DHET and internal and external Auditors.
•Assist with travel and accommodation arrangements for the Specialist and Manager

Special Projects: Administration 20%:

•Contract Administration
•Liaise with service providers to submit the required documentation for validation
•Submit Invoices to Finance for payment in line with the contract deliverables.
•Quality assures and check performance report for accuracy for submission.

Project Coordination 10%:

•Update and maintain the project dashboard learning program progress.
•Ensuring that all required documents are received for employers/providers.
•Ensure that all project files are up to date with all required, updated documents
•Preparing information for internal, DHET and audits
•Schedule support visits by practitioners to stakeholders as required

Stakeholder Expectation Management 10%:

•Represent Projects on first contact including responding to communication professionally and building professional and supportive relationships with employers
•Resolve employer queries and complaints in a manner that maintains the stakeholder relationships within the defined timeframes

Requirements:
REQUIRED QUALIFICATIONS AND EXPERIENCE:
Qualifications:
Minimum Requirement: Grade 12 or equivalent is required plus any NQF5 tertiary administration/ project administration / business administration or related qualification.

Preferred Requirement:
NQF 6 qualification in Administration and Office ManagementExperience
Minimum Requirement: A minimum of 1 to 2 years relevant experience in administration

Preferred Requirement: Appropriate experience in the Public Sector environment.
