Job Summary:
The position of Junior HR Consultant sits within the Human Resource Department and is a representative of the HR department This role facilitates all HR functions and programs, and responsibilities involves addressing issues raised by current employees and new-hires, organizing and scheduling orientations, and coordinating other HR functions such as training and development.
A key requirement of this position is excellent organizational skills and the ability to handle sensitive information confidentially.
Responsibilities:
Customer Service / Relationship Building:
•Create strong partnerships with colleagues, employees, line managers and business leaders to embed human resource functions, policies, and practices across the company.
•Manage a quality customer service. These duties include managing the HR mailbox, attending to all HR related queries, and providing feedback within specified lead times.
Recruitment and Selection:
•Ensure job descriptions and screening questions are in place for all roles in the business.
•Administer vacancy management processes, including:
•All vacancies posted on the career page (SkillsMap), and any other advertising platforms (e.g., newspapers, LinkedIn, etc.)
•Publish and communicate vacancies to business
•Feedback and communication with applicants with regards to shortlisting, interviews and regrets and interview feedback to internal candidates.
•Development a longlist for hiring manager reviews
•Ensure all reference and vetting checks are carried out fully and in a timely manner
•Ensure recruitment update is communicated to hiring managers on a weekly basis
•Provide Recruitment data for inclusion in monthly HR Reports
On-boarding and Induction:
•Prepare and issue authorized appointment related documents (offer letters, contracts of employment, etc.) as required.
•Request payroll documents (payroll info, MC, bank details, photo, etc.)
•Create and store all electronic onboarding documents in the relevant folders on a monthly basis.
•Manage the onboarding process from offer letter through to joining instructions and induction
•Register all new employees on ESS
•Assign access tag, if applicable, and activate for turnstiles and printing
•Distribute and collate feedback from Check-in Interviews
Payroll Submission:
•Ensure all payroll documents are in place for monthly submission
•Submit paperwork for all new employees, FTC extensions, Terminations, Internal movements on a monthly basis with the submission period.
HR Projects:
•Undertake HR Projects which contribute to the building of human resources within the organization
•Support the efficient implementation of the HR calendar and Communication Plan, i.e., Park Life, Employee Wellness Events, Social Responsibility, compliance reporting, etc.
Reporting:
•Provide data for and prepare management information reports.
•Ensure timely and accurate maintenance of HR records and reports.
General Administrative Support:
•Provide HR support and information to employees and line managers with regards to HR policies and processes, as well as employee benefits.
•Distribute correspondence with staff, including letters of increase, employment confirmation, UIF forms, acknowledgements of debt, etc.
•Update and maintain other HR related schedules and records such as study assistance applications and progress, performance ratings, fixed term contractor information, medical aid membership, etc.
•Ensure all payroll related documentation is accurate and submitted to the Payroll team by the relevant closing date.
•Manage ESS Administration function on VIP Payroll, HR and ESS
Requirements:
Education & Experience Requirements
•Recognised NQF Level 6 HR Qualification or studying towards one
•Basic understanding of HR Policies, Procedures and Legislation, i.e., BCEA, LRA, SDA
•2-5 years working experience in an HR environment essential.
•Proficiency in Outlook, MS Teams, MS Word, MS Excel and MS PowerPoint
